Privacy notice
How we handle your data.
This page explains what data this site collects, why it collects it, how long it stays and how you can step in. It covers the public site, not the association's member area.
Who we are
The controller is EqualArmor, a non-profit association seated in Lugano, which runs the gym and this site.

What this site processes
Two things only: the free-trial form and the server's technical logs. Nothing else.
The free-trial form
We use what you send to call you back, book your trial lesson and answer the question you wrote. We do not use it to send you advertising and we do not pass it on to anyone.
What you give us
- First and last name
- Phone number, stored in international format
- Email address
- Who the lesson is for: an adult, a child aged 5–10 or a teenager aged 11–15
- The program you picked, if you picked one
- The message you wrote, if you wrote one
- The language of the site and the page you sent the form from
- The date and time you ticked the privacy box
- A hashed fingerprint of your IP address, not the address itself
First name, last name, phone and email are required: without them we cannot call you back. The rest is optional and only helps us prepare for your first lesson.
The form only submits once the privacy box is ticked. We record the date and time of that tick, so we both know what was agreed.
Of your IP address we keep only a hashed fingerprint, computed with a key that stays on the server. It blocks automated submissions and cannot be traced back to a person.
What we add
While we work on your request we record its status (new, contacted, lesson booked, joined, closed without result), the date we called and an internal note for whoever picks up the phone. If you write twice from the same email, we link the second request to the first instead of treating it as a new person.
The server logs
Like any website, the server records the requests it receives: date and time, page requested, browser type and IP address. They keep the site running, explain an error and reveal abuse. We do not cross-reference them with the form and we do not use them to profile anyone.
How long we keep the data
As briefly as we can, and by written rules: no one decides case by case.
- Requests still open — new, contacted or closed without result — are deleted after 12 months.
- Requests that lead to a membership are deleted 30 days after joining: from then on the data lives in the member area, under its own notice.
- Requests with a lesson already booked that go nowhere for 6 months are marked "closed without result" and follow the rule for open requests from there.
These rules are applied by a scheduled command that runs every month, not by a manual review. The same command is documented in our processing register.
Server logs stay on Infomaniak's infrastructure and are overwritten on rotation.
Free self defence invitations
The form has an optional box, never pre-ticked and separate from the privacy consent: "Tell me about the next free self-defence session". If you tick it, we email you when the next free session is scheduled — one email per session at most, so one a month — with the date, time, address and the link to sign up.
It is a choice of its own: your trial request or sign-up goes ahead the same if you leave it empty, and the box does not appear when the person signing up for the session is a minor.
You can stop the invitations at any time from the link at the bottom of every email, in one click, or by writing to us. We record when you gave consent, which text you accepted, and when you withdrew it.
The consent lasts 24 months, then expires on its own and the request follows the retention rules above. While it is valid, the request is not deleted after the 12 months that apply to open requests.
Who processes data for us
The site and the mailbox are hosted by Infomaniak, on infrastructure in Switzerland. The form you fill in reaches our mailbox through its mail servers. Infomaniak processes this data only to provide us the service, on our instructions.
There are no other providers: no newsletter platform, no advertising service, no external storage, no form hosted by a third party.
No analytics, no third-party content
This site does not measure visits and loads nothing from anyone else's servers. When you open a page, your browser talks to our server only.
- Typefaces are served from our own server, not from an external network
- The map is a link to Google Maps, not an embedded map
- No embedded video, no social buttons, no advertising tags
- No third-party bot protection: the form defends itself with our own checks
Your rights
The Swiss Federal Act on Data Protection gives you a set of rights over the data that concerns you.
- Know what data we hold about you and get a copy of it
- Have wrong or incomplete data corrected
- Ask us to delete your data
- Object to the processing and withdraw the consent you gave with the form
Write to info@equalarmor.ch and say what you want. We answer in writing, and we only ask for one more detail if we need it to be sure we are talking to you.
If our answer does not satisfy you, you can turn to the competent Swiss data protection authority.
Children and teenagers
For the Kids classes the form must be filled in by a parent or guardian, who stays our contact for the trial lesson and gives consent on the child's behalf. About the child we only need the age. If we notice a request was sent by a minor without an adult, we delete it.
How we protect the data
The site is served over HTTPS only. Trial requests are read from a password-protected staff page, used by the people in the association who handle sign-ups. Of your IP address only a hashed fingerprint remains.
Changes to this notice
If we change how we handle data we update this page together with the last-updated date. Earlier versions do not stay published: if you need a copy of the one that applied when you filled in the form, ask us.
